Real-Time Collaboration on Drawings

Togal.AI’s cloud-based platform enables real-time collaboration, meaning multiple users can work on the same project and even the same drawing simultaneously. It transforms digital takeoffs from a solo activity into a dynamic, team-based effort.

How It Works

  1. You share a Set

    You share a specific Set with other participants using the Share icon and assign each person a permission level.

  2. Togal creates a view for each participant

    Once added, each participant gets their own view/layer on every drawing in that Set. This view is where they create and edit takeoffs and markups (based on their role).

  3. Work stays separated by view, but can be visible across views

    • Participants work independently in their own view.

    • Depending on permissions, they may also be able to see other views, and in some roles, modify other users’ views.

  4. Teams can reuse work across views

    Participants can copy (Ctrl+C) content from another user’s view and paste (Ctrl+V) it into their own view. The pasted content lands in the same exact coordinates, which helps preserve accuracy and alignment.

  5. Permissions control what each participant can do
    Your permission level determines whether you can edit, view others’ work, or manage participants and views.

    • Instant Updates: When a team member creates, edits, or deletes a takeoff, the change is broadcast and appears on your screen almost instantly. As an admin user with full permissions, you can only see changes on other users' view ; all changes from all collaborators can be seen in a Combined view.

    • No “Checking Out” Files: Because it’s a live, cloud-based system, there is no need to “check out” a drawing to work on it. Everyone is always working on the most current version of the project data, which prevents version conflicts and ensures no one is working on an outdated takeoff.

Permission Levels

When sharing, you can control what each participant can do:

  • Owner
    The creator of the Set. Has full control over permissions and settings.

  • Manager
    Can edit their own view, modify other users’ views, and manage permissions and participants—similar to the Owner.

  • Editor
    Can edit their own view and see all other views, but cannot modify other users’ views.

  • Isolated Editor
    Can create and edit their own view but cannot see or interact with other views. Ideal for users who need to work in isolation.

  • Viewer
    Can see all views but cannot edit.

Admin note: Admins in your organization already have access to all projects and will always have Manager permission when they join a Set. This ensures they can manage participants and views even if they are not the original owner.

Best Practices for Real-Time Collaboration

  • Divide and Conquer: The most efficient way to collaborate in real time is to have different team members focus on different tasks.

    • One person can work on the flooring takeoffs.

    • Another person can work on the wall and partition takeoffs.

    • A third person can focus on counting fixtures. This parallel workflow dramatically reduces the total time required to complete the takeoff for a project.

  • Copy/Paste between views: Copy (Ctrl+C) content from another user’s view and paste (Ctrl+V) it into your own. The pasted content will be placed in the same exact coordinates, ensuring accuracy. This is useful when one participant does the Togaling (area, line, and count measurements) and others want to reuse those details in their own view.

  • Togal button results: Takeoff results from the Togal button can be copied from view to view. Running separate Togaling on each view may create unnecessary duplication.

Note: If you're in "View Only" mode and want to edit a drawing, check your permission level and ensure you're in the correct view.
